At this point you already signed an online version of the membership agreement, release of liability and house rules, you also received a printed copy of those documents.
But since these are very important policies we want to make sure you are aware of, so here they are:
Fees & Payments
Tuition
Our program is based on a 4-week month. Tuition is payable on the day you signed-up and is due for the entire month. Tuition is not prorated or refunded when dropping early or mid-month. If payment is late by 10 days or more, a late fee of $25 will be added to your account. If we have still not received payment after 30 days, your student will be dropped from their class. Tuition, camp, and special event fees are NON-REFUNDABLE and NON-TRANSFERABLE. Re-enrollment will only be approved if any outstanding balance is paid in full.

● A credit card must be on file at all times for monthly tuition automated charges.
● EBJJ is PCI compliant for your security.
Withdrawing from Class
You may request a withdrawal by submitting a cancellation request on our website, sending us an email to info@essencebjjwalnutcreek.com or through the member portal. Drop requests should be submitted at least 30 days before your next billing date or you will be charged for the following month. Refunds are not given for early withdrawal during the month. We do not accept VERBAL cancellations. We will not refund processed tuition for late cancellations.
Attendance
Make-ups
Make-up classes are only offered to students who will miss their 4th class in the month due, as long as the parent records the absence at least 3 hours before the class start time by sending an email and canceling any reserved spot through the app. One make-up token for an excused absence can be given per month, & expires after 30 days. Please see our full calendar. Students must be actively enrolled to redeem make-up classes.
Hold
Accounts are allowed to be placed on hold for a minimum of 15 days by filling a hold request online or sending a written request to info@essencebjjwalnutcreek.com with at least 15 days notice in advance, unless an unforeseeable event, such as an injury with a doctor's note provided. There is a $10/mo fee if the hold extends 30 days per person or $15/mo per family in lieu of your monthly membership rate.
To set an account on hold you must indicate a return date. Upon your return date the account gets active using any credit left or a new tuition may be charged. You may change the return date at any time by sending an email 5 days before the hold expires.
Placing the account on hold does not waive you from complying with the 30-day cancelation policy. If canceling a membership during a hold you may owe partial or full tuition depending on the credit you have on your account. We will not refund processed tuition for accounts that returned active if we didn’t receive a written request to extend the hold 5 days before the hold expires. A courtesy email will be sent 5 days before the hold expires to remind you the account will resume.
Sick policy
Please note our policies are based on providing a safe environment for everyone.
If your child is noticeably ill or displays symptoms of any contagious disease, please keep them home from jiu jitsu/muay thai until they are well using the following guidelines for “well”:
Your child must not have a runny nose, sore throat, cough, fever, nausea, or diarrhea to attend a class. While at EBJJ, if a student develops any of the above symptoms, they must cover their nose and mouth with a mask and then be escorted to wait in an isolated area near the front office until a parent/guardian is called and arrives to pick up the student.
If your child has any contagious illness (confirmed by a doctor) other than COVID-19, she/he must be symptom-free and fever-free for 24 hours. Fever-free means no fever for 24 hours while not using a fever reducer such as acetaminophen or ibuprofen.
Allergies: If your child has allergies or asthma, please let us know on an event-by-event basis. If you have not informed us, we will assume they are ill, ask them to wear a mask and isolate them until we can contact you.
